Beautification

The Grounds and Facilities Committee is hard at work, sprucing up the front of the school before the first day.

Many thanks to Cassie and Mitchell Scott and to Amy and Dwayne Poff for pressure-washing the concrete walkways in front of the school last weekend. They are sparkling clean now and ready for back-to-school.

Be on the lookout for more beautification efforts from this energetic and enthusiastic committee!

Business Support

We would like to recognize the following businesses for supporting the Indian Springs PTA:



Lowe's of Kingsport recently donated a $75 gift card to the Grounds and Facilities committee for use in its efforts to spruce up the front entrance of the school. Thanks to Kristen Leonard for working with Lowe's on obtaining this donation.

Slapdogs at 5210 Memorial Boulevard in Indian Springs has become the first business member of our PTA this year. We thank them for their support!

New Volunteers!

Karen Maydian, Angie Millican, Sherri Leming, Amy Falin, and Rene Cox have volunteered to meet/greet new parents during Kindergarten screening on Aug. 4 and/or 5.

New Kindergarten parent Cynthia Perdue has volunteered to take pictures for the yearbook this year.

Jodi Vanburen has volunteered to coordinate Grandparents' Day this year with help from Angie Sybert, a Grandparents' Day veteran!

Mrs. Webb Needs You!

Mrs. Webb needs volunteers for the following for the 2008-09 year:

Yearbook staff – take photos of students and events (one per grade level)

Artsonia – help put photos on Artsonia web site. This can be done from home. (2 or 3 people)

Needs and Opportunities to Get Involved



§ Volunteers needed to help assemble Kindergarten packets on Aug. 1 at 10 a.m. at the school.

§ Volunteers greatly needed on Aug. 4 and 5 from 8-11 a.m. and 1-3 p.m. each day during kindergarten screenings. Volunteers will meet and greet the new kindergarten parents, help pass out and collect the kindergarten packets, and answer questions and give tours to the new parents. Come out and help us greet our newest class at ISES!

§ Volunteers to brainstorm and build shade shelters on each playground (we had a $500 grant back in the spring but no volunteers; shelters are most needed in Aug./Sept.)

§ More volunteers to help sell agendas before school during the first few days.

§ If you love things like teacher luncheons, grandparents day, the birthday bulletin board, etc., we need you! We are currently looking for enthusiastic folks for the Hospitality committee. Please let us know if you would like to help out!

§ Volunteers for Fall Carnival committee.

§ Our awesome refunding team - Penny Aquino and Tammy Orton - are looking for a couple of new folks to help them out this year.



The refunding program supports our school by collecting General Mills box tops, Tyson labels, Campbells soup labels, and making sure everyone links up to the Food City Apples for the Students program. In return for our support of these merchants, we receive educational materials and cash back for our school. This is a flexible way to contribute to Indian Springs from home, on a schedule that is convenient for you.

Notes from July 14 PTA Meeting

Goals: Discussed the goals for the organization for the coming year.

Conducting programs and events in support of the PTA mission and objectives .
1. We have flexibility to define what committees, programs, and events we want to conduct this year to support PTA goals.
2. Specific programs and events will depend upon availability of chairs and committees to work on as well as funding.

Engage general ISES parent population
1. Modify PTA meeting structure to encourage attendance and participation
2. Diversify communication methods to reach everyone we can
3. “Meet people where they are” in terms of volunteering (time, lifestyle, interests, etc.)
4. Encourage volunteers to bring fresh ideas and new ways of doing things to their roles

Build PTA leadership base
1. Partner newer people with an experienced mentor in committee/project/program roles
2. Increase use of committee approach to allow more people to contribute on a smaller scale
3. Put continuous effort into “succession planning” for the future

Information Shared:
Although our historical PTA operating budget has been approximately $20,000 per year, changes have occurred over the past year that will change our budget going forward.
- Fundraising rules for school support organization have been in a state of flux for about a year. It finally appears that our PTA will be able to continue raising funds in a similar fashion to past years, but there is much more paperwork required now.
- The PTA was unable to provide an organizer/committee for the 2008 Spring Walk-a-thon, so this fundraiser and family event was conducted by the school.
- The school will be conducting the fall fundraiser this year (cookie sale), and the money raised will be used to fund technology and other classroom educational materials.
- The funds typically allocated in the PTA budget to technology will be removed from the budget since these items will be funded by the school this year.

The PTA budget for 2008-09 has not been developed yet. However, as a result of the above, the budget will likely be no more than $5000 this year.

PTA intends to organize a fall carnival and spirit item sale to serve as a fundraiser this fall. As with last year, the fall carnival will be built around the use of the inflatables from the Mega Party associated with the school’s fall fundraiser. The PTA is being given free use of the inflatables for the Fall Carnival.

PTA will need to conduct the Spring 2009 Walk-a-thon to stay financially healthy going forward.

Discussion Notes:
Spirit item sale – in addition to general Indian Springs T-shirts, consider also having hoodies, shorts, bumper stickers, etc. for sale

Ideas to improve meetings:
- Combine board/general meetings into one session
- Include dinner
- Allow general membership to express their preferences on issues through a survey or some other specific means, which in turn directly influences voting by the board
- Increase communication about place, time of meetings. Include phone call list to invite members directly
- Hold meetings in various classrooms so parents can see different classrooms
- Don’t have meetings in conjunction with other school events like plays, etc. Let the meetings occur standalone so the attendees are not distracted

At open house, when PTA members are joining, ask that they fill out a survey to collect all their contact information along with their preferred communication method. Also gather information on their interests with regard to volunteering.

At open house, include a “PTA Fair” with each committee having a table and a contact person to talk to, so parents can meet a PTA contact, learn about the programs on the spot, and sign up to help according to their interests.

Once people sign up to help, be sure they are called!

Consider having a parent coordinator for each grade level to be a go-to person for that grade, to represent the grade at PTA meetings, and serve as an interface for the teachers?

Consider having a PTA presence at Kindergarten orientation to extend invitation to the new parents.

active member communication program (through phone calls and other direct contact with members) to make sure people feel welcome and invited and to thank them for their efforts.

PTA Objectives

4. To bring into closer relation the home and the school that parents and teachers may cooperate intelligently in the education of children and youth.

5. To develop between educators and the general public such united efforts as will secure for all children and youth the highest advantages in physical, mental, social, and spiritual education.

PTA Mission

1. To support and speak on behalf of children and youth in the schools, in the community, and before governmental agencies and other organizations that make decisions affecting children.

2. To assist parents in developing the skills they need to raise and protect their children.

3. To encourage parent and public involvement in the public schools of this nation.

PTA Positions

Executive Committee Officers

PRESIDENT:
The President directs the affairs of the PTA in cooperation with the other members of the executive board for a term limit of one year, presides over PTA meetings, works with the Executive Committee to develop the operating budget, and works very closely with the Principal and Executive Committee, especially the Treasurer. The office requires a knowledge of PTA that comes from practical experience and by studying information and material secured from the previous President and the Local, State, and National PTA. The President must have excellent organizational and communication skills, be a strong leader and developer of people, and have great energy for PTA and for the school. The President must always keep as a top priority the best interests and ongoing health of the organization and its place within the school.

FIRST VICE-PRESIDENT:
The 1st Vice-President is the President-Elect for the following year. The 1st VP plans programs for the general PTA meetings, fills in for the President when necessary, assists the President as needed, and is automatically promoted to President the following year. The 1st VP should become familiar with the President’s duties and develop knowledge of PTA and the workings of the various committees. Along with the other members of the Executive Committee, the 1st VP is involved in developing the operating budget and the overall planning for the PTA for the school year.

SECOND VICE-PRESIDENT:
The 2nd Vice-President plans and implements the annual PTA membership campaign in the fall (possibly including the PTA Fair at Open House), is responsible for the collection of membership dues and member information forms, distribution of membership cards to the members, sending reports to the local and state PTA as necessary, and keeping an accurate and up-to-date listing of PTA members. The 2nd VP also enters member information into the OMDR (online membership data reporting) system operated by National PTA. Along with the other members of the Executive Committee, the 2nd VP is involved in developing the operating budget and the overall planning for the PTA for the school year.

SECRETARY:
The Secretary records the minutes of PTA meetings and issues the minutes in electronic form in a timely manner. The Secretary is also in charge of the bylaws and any updating that may be necessary, filing required school support organization information with Sullivan County, and, in general, making sure that our documentation is in order. Along with the other members of the Executive Committee, the Secretary is involved in developing the operating budget and the overall planning for the PTA for the school year.

TREASURER:
The Treasurer keeps an accurate record of all monies received and disbursed by the PTA. The Treasurer is responsible for all accounting procedures and processes required by State and National PTA, the IRS, and the State of Tennessee. The Treasurer maintains a money-handling procedure for PTA and is personally involved in the processing of monies received. The Treasurer and President are the two signatories required for PTA checks that are written. The Treasurer receives and processes requests for reimbursements for PTA expenses and pays all PTA bills. The Treasurer creates a monthly statement of receipts and expenditures and makes a Treasurer’s report at each meeting. The Treasurer also maintains copies of the PTA tax-exempt form and makes these available to members as needed for PTA purchases. Along with the other members of the Executive Committee, the Secretary is involved in developing the operating budget and the overall planning for the PTA for the school year.

Board Positions - Committee Chairs

AID TO CHILDREN:
Organize a fall and spring clothing distribution for the school's needy children. This involves working with the teachers and principal to develop a list of children needing assistance, making the necessary purchases, and organizing the distribution of the items to the children. This committee maintains a separate bank account and receives funding from the Indian Springs Community Chest.

CLINIC:
Purchase items needed to properly run the clinic, schedule volunteers to staff the clinic on a daily basis, and coordinate the annual Hearts for House Program. Funding for this committee comes largely from the Indian Springs community chest.

COMMUNICATIONS:
Write, publish, and distribute the school newsletter – The Indian Springs Drumbeat. Maintain and work to increase the list of electronic subscribers, but still provide hard copies for those who need/prefer them.

CULTURAL ARTS:
Bring in special programs to promote the Arts and assist with the Art Show, Talent Show and/ or Reflections Program.

FACILITIES AND GROUNDS:
Help keep the school building and grounds attractive by planting flowers, decorating the school doors for the appropriate season, maintaining the flower beds, etc.

FALL FUNDRAISER:
Organize and execute the PTA Fall Fundraiser. In recent years, this has been the Fall Carnival and/or Spirit Item Sale.

FIELD DAY:
Work with PE teacher to plan and schedule Field Day events and organize other volunteers needed to assist with the event.

HEALTH AND SAFETY:
Work with school nurse to communicate the importance of health and safety both in the school and home environments through programs, bulletin boards, or articles in the school newsletter.

HOMEROOM VOLUNTEERS:
Organize homeroom parents who help plan class parties, recruit field day volunteers, and assist teachers with other class related activities.

HOSPITALITY:
Provide an annual luncheon for the teachers and staff, provide recognition for teachers during Teacher Appreciation week, organize childcare and snacks for PTA meetings and functions as needed, decorate birthday bulletin board each month, and host Grandparents’ Day in early September.

LEGISLATIVE:
Attend school board and county commission meetings, representing ISES PTA, and communicate to the executive board necessary information that will affect the school.

PLAYGROUND:
Coordinate providing playground maintenance such as painting, re-mulching, checking for needed repairs, and planning for updating the equipment.

PUBLICITY:
Send out paper reminders as requested to advertise PTA meetings and other events. Post reminder flyers about PTA meetings and events. Keep the marquee sign updated as needed with information about PTA happenings (work with the school to coordinate), and keep the PTA bulletin board up-to-date and attractive.

REFUNDING:
Collect and organize the necessary receipts, box tops, labels, etc. and submit them to the manufacturer for credit so the school can order needed educational items.

TEACHER REPRESENTATIVES:
Two teachers who are members of the PTA board and provide input from a teacher/staff perspective. These teachers should attend all meetings.

WALKATHON:
Organize and execute the annual spring PTA fundraiser, the Walk-a-thon.
